Your meeting, drawn as you talk.

At the end, you have a whiteboard with the agenda, the decisions and every action with its owner, plus the transcript and a summary.

What you need

  • Plus or Pro. Meeting Scribe is included with both. Credits are used while the bot is in the meeting, and the last page of the set-up shows the cost before you invite the bot. See Credits.
  • A meeting on Zoom, Google Meet, Microsoft Teams or Webex, and its link.
  • A whiteboard you can edit. Make one with the + beside Whiteboards in the sidebar.
  • No Meeting bot in the Bots menu? It is not switched on for your organisation yet. Contact us and we will turn it on.

Steps

  1. Open a whiteboard

Open the whiteboard that the meeting should be drawn on.
  2. Choose Meeting bot

Press Bots at the top right of the board. Choose Meeting bot, the one that says Invite a bot that paints a live board.
The Bots menu on a whiteboard.
  3. Paste the meeting link

In Meeting link, paste the link. Keep Standard chosen: it paints the board as you talk. Press Next.
  4. Add an agenda

On What should the board show?, type your Agenda, one item to a line. It is optional, and the bot ticks each item off as the meeting reaches it. Choose the Meeting language, and whether to Show the board in the meeting: Off, As the bot camera, or As a screenshare. Press Next.
Three agenda items, one to a line.
  5. Invite the bot

On Ready to join?, check the summary and the cost, then press Invite the bot.
  6. Let the bot in

The panel says Joining the meeting. If the meeting has a waiting room, it says Waiting to be let in. Ask the host to let the bot in. In Teams, the bot waits in the lobby.
  7. Watch the board paint

The Meeting bot panel shows Bot activity and the Transcript, with each speaker's name. The board fills with topics, decisions and actions, and the agenda ticks off.
The panel while the meeting runs: transcript, Pause and Stop.
  8. Add to the board

While the bot paints, press Sticky note in the left toolbar, choose a colour, and type. The bot keeps painting around your note.
  9. Stop and finish

When the meeting ends, press Stop, then Stop bot. The bot leaves, the board gets a last tidy, and a summary is added. This usually takes 15 to 30 seconds. The panel then says Meeting mapped. Your board is ready.
A finished board: decisions, actions with owners, a flow chart and a note.

Privacy and limits

Meeting Scribe uses only a transcript. No recording is stored. Ask the host to remove the bot at any time to stop it. A meeting stops at 180 minutes.

What to try next

  • Open Past meeting bots in the Bots menu to revisit a finished or running bot.
  • Have an agent act when a meeting ends, or turn the actions into tracked work.
